pre-departure process

Pre-Departure Briefing for applicants placed in Australian universities are conducted twice each year. In November/December for those departing in January and April; for those departing in May. The actual dates of the briefings will be made known to each of the successful candidates by MASP. The briefings are usually of a half-day duration for the successful candidate. MASP recommends that dependants of successful candidates accompanying the candidate to Australia should also attend the briefing.

You will be briefed by MASP staff prior to your departure. This briefing will be conducted with other scholarship candidates as one group. The emphasis placed upon pre-departure training depends upon the length of the Scholarship.

Introductory briefing by the MASP Deputy Program Manager

This is designed to provide you with an overview of your scholarship program. The Deputy Program Manager (MASP) will conduct this session which is usually undertaken individually with successful applicants.

Briefing by the MASP Placement Staff

The MASP Placement staff will visit you to talk about the university placement process as well as provide information to you on the required medical examination and visa application process.

Application for Student Visa to study in Australia

The visa form will be provided to you by the Placement staff. You should complete this form and return it to the MASP office, as advised by MASP Placement staff. Applicants are encouraged to complete to complete this application themselves but draw on the support of MASP when necessary. Click here to download the form.

Successful applicants are responsible for visa requirements however, MASP will provide support in its completion, finalising the medical examination and sending the documents to DIAC in Beijing. Family members, however, will be responsible for obtaining visas and undertaking the medical examination and MASP will provide assistance where required. Successful applicants will need to pay for family members visas and medical examination costs. Obtaining visas can take some time and should be commenced at the earliest.

Medical Examination

You must undertake a medical examination, and it must be performed by one of the Australian Embassy recognised doctors. The results are valid for 12 months – it is recommended that you get this done as soon as possible.
The cost of the medical examination for the successful ADS candidate is borne by MASP otherwise the cost is the responsibility of the individual.

Two forms need to be filled out prior and provided to the doctor at the time of your examination. The medical examination is undertaken in Mongolia by SOS Medica. MASP arranges the medicals and notifies the individual candidates.

The medical examination will require you to complete the X Ray Form (Form 160) and Medical Check-up Form
(Form 26). These forms will be given to you at the briefing mentioned above. These forms are to be completed
and taken to SOS Medica as advised by MASP The medical examination results will be forwarded directly to the Australian Department of Immigration and Citizen (DIAC) at the Australian Embassy Beijing by SOS Medica, coordinated by MASP. 

If a medical problem is found, you will be contacted and a course of treatment recommended. It is your responsibility to undertake and pay for this treatment. 

In some cases your departure to Australia may be delayed or postponed as a result of this treatment.
Spouse and children also have to undertake a medical check-up if they require a visa and are accompanying
you. Note, children under 11 are not required to have an x-ray

Applying for Passport

It is your responsibility to organise your passport.

Submit passport to MASP

When your passport has been produced, you must submit this to the MASP office with the relevant visa application form. Obtaining a visa takes time and its preparation with your passport should be commenced at the earliest opportunity. MASP staff will forward the visa application and your passport to the Department of Immigration and Citizenship (DIAC) office at the Australian Embassy in Beijing for a student visa. 

Visa issued and returned to MASP

When your visa has been issued by DIAC, it will be collected by MASP staff.

Awardees collects passport and ticket

Airline Tickets and passport will be available for collection at the MASP office. You will travel on the most direct route to Australia on an economy class ticket.

Awardees departs for Australia

Air tickets will be arranged by MASP staff. Arrival date in Australia will be arranged prior to the start of the Introductory Academic Program (IAP).
